Inventory with QR Codes

Inventory with QR Codes guide

Stock on a monday.com board that you can count with a phone: every scan is recorded once, even when the connection drops.

Get started

  1. Install Inventory with QR Codes from the monday.com marketplace (account admins install apps).
  2. On your products board, click + Add view → Apps → Inventory with QR Codes.
  3. An account admin clicks Connect monday once.
  4. Set up the board, print labels and open the scanner on a phone.

Free plan

Free is a full plan, no card needed: 1 products board, 100 movements a month and 2 phones. Labels, scanning and automation are all on Free; paid plans only raise the limits (pricing).

Set up a products board

Choose the columns for SKU, Stock and Minimum, add your locations and decide whether stock may go negative (by default an Out beyond the stock is refused). The app creates a Movements board (SKU, quantity, type, location, scan ID, by) and takes today’s Stock as the opening balance. The stock figures come from the app’s own journal, and the Stock column on your board is kept equal to it.

Record movements

Record In, Out or Count (a stocktake sets the location to the counted quantity). The view shows stock per product and location, flags low stock and lists recent movements, including refused ones with the reason. When a product falls below its minimum, the board owners get a monday notification. Sync now pushes anything still waiting to monday.

QR labels

Download a PDF label sheet (A4, 3 × 8 or 2 × 5 labels per page). The QR code contains the SKU as text, so any scanner app can read it. Do a test print before printing a whole sheet: very small labels are harder to scan.

Scanning with a phone

  • Create a scanner link (a QR code and a link) and open it on a phone. No monday login is needed; a link expires (after 90 days by default) and you can revoke it in one click.
  • Scan with the camera where the browser supports it, or type or pick the code. Choose In, Out or Count, the quantity and the location.
  • Without a connection the phone keeps its scans and sends them when it is back online. Each scan has its own ID and is counted once, however many times it is sent. If a scan cannot be accepted yet (for example the monthly limit is used up), it stays on the phone and is sent again later.

Automation

The automation action “Record a stock movement” records an In, Out or Count from your own recipe, once per run.

Plans

Free, Basic ($19), Pro ($49) and Business ($99) per monday.com account and month, billed by monday.com. Limits are on the pricing page. Phones are scanner links, not monday seats. While a monday.com trial is active, the app applies Pro limits.

Your data

The app keeps a journal of your movements (SKU, location, type, quantity, time, who recorded it) so that stock is exact; it is deleted when you uninstall. A phone keeps its unsent scans in the browser until the server has answered each one. Details in the privacy policy.

Roles & permissions

Account admins and board owners set up boards, labels and phones; viewers and guests cannot. A phone with a scanner link can only record movements for the one board it was created for. The app does not delete your items.
